Why a Plan
What a Commercial Preventive Maintenance Agreement Gives You
Without a plan, commercial HVAC tends to get attention only when a tenant complains or a zone stops cooling. A commercial preventive maintenance agreement flips that around. Technicians visit on a set schedule, work through each unit, and tell you what they found while there is still time to act cheaply.
The real value is information. After a few visits you know which units are healthy, which are wearing out, and which ones keep generating repair calls. That lets you plan replacements into next year's budget instead of approving an emergency purchase in the middle of August.
Plans are written for the building, not pulled off a shelf. Equipment type, operating hours, occupancy, roof access and manufacturer guidance all shape how often we visit and what each visit covers.

What a Typical Maintenance Visit Covers
Tasks are adjusted for each piece of equipment, but most rooftop and split-system visits include the following.
- Filter replacement in the sizes your units use
- Belt inspection, tension and replacement as needed
- Condenser and evaporator coil inspection and cleaning
- Condensate drain, pan and trap flushing
- Electrical connections, capacitors and contactors
- Motor amp draw and bearing condition
- Refrigerant pressures and temperature split
- Economizer and damper operation where equipped
- Thermostat and control sequence check
- Cabinet panels, gaskets and corrosion review
- Written notes and photos for each unit
How Building Use Shapes Your Facility HVAC Service Contract
There is no single right visit frequency. These are the factors we weigh when building a schedule with you.
| Property type | What drives the schedule |
|---|---|
| Restaurants | Kitchen heat, grease-laden air and long hours load filters and coils quickly |
| Medical and dental offices | Patient comfort, humidity control and filtration expectations |
| Retail storefronts | Frequent door openings and seven-day operating schedules |
| Professional offices | Predictable hours, but tenant comfort complaints spread fast |
| Multifamily and HOAs | Many small systems, tenant access and drain line overflows |
| Warehouses | Large open volumes, dust and heat from roof decks |

Maintenance That Feeds Your Budget
Every visit ends with written findings: what was serviced, what is worn, and what should be watched. Over time those notes become a condition history for every unit on your property, which is exactly what owners and boards ask for when it is time to approve spending.
We sort recommendations into three groups so they are easy to act on: fix now, monitor, and plan for replacement. When a unit lands in the last group, we explain why and give you time to budget. For guidance on how to set aside reserves, read our article on commercial maintenance budgeting.

Commercial HVAC Maintenance Plans Built Around Your Building — FAQs
How often should commercial HVAC equipment be serviced?
It depends on the building. Many offices do well with visits each quarter or twice a year, while restaurants and dusty or coastal sites often need more frequent filter and coil attention. Manufacturer guidance and equipment age also matter. We recommend a schedule after walking your property, then adjust it based on what we find.
What does a commercial maintenance agreement cost?
Pricing depends on how many units you have, their size and type, how often we visit and how hard they are to reach. After the site walk, we give you a written proposal with a fixed price per visit or per year, so there are no surprises. Call (941) 417-4848 to schedule the walk.
Do agreement customers get priority for repairs?
Yes. Businesses with a maintenance agreement are scheduled ahead of non-contract calls when demand spikes, and our technicians already know the equipment and the building. That familiarity usually shortens diagnosis time, since the notes from earlier visits show what has changed.
Can you maintain equipment across several locations?
Yes. We work with owners and operators who have multiple sites in Sarasota, Manatee, Pinellas and Hillsborough counties. Each location gets its own equipment list and schedule, and reporting can be consolidated so you see the condition of every site in one place.
Is there a residential version of this plan?
Homeowners have a separate membership designed for single systems, with tune-ups, repair discounts and priority dispatch. See the Reliance Air Club for plan details, or our home maintenance page for what a residential visit includes.
